Overview
Smart Checklist allows you to set a default template for newly created issues. You can set a template as default at Project Level for project templates and at Global Level for both global and project-specific templates.
👤 To set templates as default, ensure users have the appropriate permissions:
To set Project template as default on the Project level: Administer project or Manage Smart Checklist Templates permission.
To set templates as default on the Global level: System Admin permission.
Learn more about permissions here → Checklist & Templates Permissions
Set a template as default at the Project level
Project Admins can set a Project templates as default for all issue types or specific issue types within a project.
Open the issue that contains the checklist.
Click on the Smart Checklist menu and select Manage Templates.
You'll see the Templates dialog with a list of all Project templates.
Click on a template name to expand its details.
You’ll see two condition tabs: General and Advanced.
In the General tab, you can set the template as the default for specific issue types:
To apply the template to all issue types, select Quick assign to all issue types.
To apply the template to specific issue types, choose relevant issue types from the list.
The “Assigned to [issue type]“ label will appear next to the template name in the list.
💡HINT: You can set several default templates per single issue type.
Starting from v7.7.0 you have additional Advanced tab, where you can configure more custom triggers for applying default templates:
None – No automatic template assignment.
Issue created – Applies the template to all newly created issues.
Issue transitioned – Applies the template when an issue status changes.
Issue updated – Applies the template when a field value changes.
💡HINT: You can add multiple conditions for default templates by combining different criteria (e.g., when the issue type is “Story” and the “Components” field is not empty).
☝🏼 NOTE: For issues with multiple checklist tabs, the checklist template is applied to the Default Checklist tab by default. See Multiple checklists article for more details on how to adjust this behavior.
Result: 🔄 The default templates will now be automatically imported into newly created issues in the project.
Set a template as default from Global Settings page
System Admin can set default templates that are available across multiple projects.
Go to Manage Apps → Smart Checklist → Settings → Templates.
Click Add New or select an existing template to edit.
In the Scope section, define the template’s availability:
All projects (default) – The template is shared across all projects.
Multiple projects – The template is available in selected projects.
Single Project – The template is limited to a specific project.
Under Default Template Conditions, choose the trigger when the template should be applied:
None – No automatic template assignment.
Issue created – Applies the template to all newly created issues.
☝🏼NOTE: Use Issue created without additional conditions wisely, especially for Global templates, as it will make the template default for all newly created issues on the instance.
Issue transitioned – Applies the template when an issue status changes.
Issue updated – Applies the template when a field value changes.
💡HINT: You can add multiple conditions for default templates by combining different criteria (e.g., when the issue type is “Story” and the “Components” field is not empty).
💡HINT: You can set several default templates per single issue type.
🔄 Result: The default templates will now be automatically applied to newly created issues in the projects where the template is available.
☝🏼 NOTE: For issues with multiple checklist tabs, the checklist template is applied to the Default checklist tab by default. You can select a specific tab or even create a new tab where the template will be added. See Multiple checklists for more details.
