Easily manage checklist templates at Project and Global levels. Customize your templates in just a few clicks!

Manage Project templates within the project
Project templates can be managed from the Template Manager accessible from the issue view.
Global templates, however, can only be managed from the Global Settings → Manage Checklist Templates | Manage templates from Global Settings
To manage Project templates follow the next steps:
Open the issue that contains the checklist.
Then, click on the 3 dots menu and select Manage Templates.
Find the template you want to edit and click its name to expand the details.
Rename a template
Go to the Template Manager → Click on the template name to expand the details.
Enter the new name in the Name field and click ✔️ to save.
Edit checklist in a template
Go to the Template Manager → Click on the template name to expand the details.
Click the Edit button to enter edit mode.
Use the Checklist UI to modify items or switch to the Editor tab for markdown edits. Be sure to save your changes after editing.
Set a template as default
You can configure a template to be automatically imported into new issues based on the issue type.
Go to the Template Manager → Click on the template name to expand the details.
Select one of the following options:
All issue types: The template will be applied by default to all newly created issues in the project.
Specific issue types: The template will be applied by default to newly created issues with the specified issue type.
💡HINT: You can also set up additional default conditions to automatically apply a template to your issues. Apply checklist templates on status transition or issue updates with the Set template as default
Convert a template to linked
Convert a template into a dynamic Linked template to ensure updates are synchronized across all issues using it.
Go to the Template Manager → Click on the template name to expand the details.
Enable the Linked template toggle.
☝🏼NOTE: Starting from v7.6.0, the Convert to linked option is available in the template’s 3-dot menu.
Once enabled, the template will remain linked, allowing you to make updates centrally that reflect across all associated issues.

Categorise templates
Starting from v7.6.0, templates can be grouped by category, providing a structured and intuitive way to organize and browse checklist templates.
Go to the Template Manager → Click on the template name to expand the details.
In the right panel:
Select a category from the dropdown list that best fits the template
Or create a new category by typing a new category name
🥳 That’s it! Your template is now grouped under the selected category.

Delete a template
Go to the Template Manager → Click on the template name to expand the details.
Click the Delete button, and confirm the deletion.
☝🏼NOTE: Starting from v7.6.0, the Delete option is available in the template’s 3-dot menu.
Manage templates from Global Settings
Both Project and Global templates can be managed from the Global Smart Checklist settings page.
To access the Global Settings page, go to Manage apps → Smart Checklist → Settings → Templates.
👤 JIRA PERMISSION REQUIRED: This option is available only to users with System Admin access.
Manage Templates
Search and sort templates
Search templates: Enter a template name or ID in the search field and press Enter to filter the list.
Sort templates: Click on any column header (e.g., Name, ID, Issue Types, Projects, Linked, Enabled) to sort templates based on that attribute.
Enable or disable templates
Templates can be enabled or disabled directly from the Smart Checklist settings page. Here's how it works:
Enabled templates: Templates that are enabled will be visible in the Template Manager accessible from the project level. They will also be applied as default templates, as long as the default conditions are configured and met.
Disabled templates: When a template is disabled, it will not be visible in the Template Manager accessible from the project level and will not be applied as a default template for any issues, regardless of the default conditions setup.
You can enable or disable templates by switching the Enabled toggle.
Check default issue types & projects visibility scope
You can also:
Check the Issue Types column to see which default issue types a template applies to. If assigned to multiple types, click the Multiple issue types link to view them.
Review the Projects column to understand the template’s visibility – whether it’s assigned to all projects, multiple projects, or a specific project (click to see details).
Edit a template
To edit a template, click on the template name or use the 3-dot menu and select Edit. On the Edit template page, you can modify the following:
Rename the template
Update the template name on the edit page.
Assign a category Starting from v7.6.0
Select a template category from the dropdown – or create a new one by typing a name that doesn’t exist yet.

Modify checklist items in a template
Edit the checklist items using the Checklist UI or the Editor tab for markdown edits.
Convert template into linked & view linked issues
Enable the Linked template toggle to convert the template into a linked template to ensure updates are synchronized across all issues using it. You can also view the JQL query that returns all issues where the linked template has been applied.

Configure projects visibility scope
Set the template's project visibility scope to control where it is accessible. Templates can be assigned to All projects, Multiple projects, or a Single project.
Set Default Template Conditions and assign template to a checklist tab
Define the conditions under which the checklist template will be automatically applied to an issue (e.g., based on the issue's field value, type, or status). You can also select or create a checklist tab where the template should be applied.

Copy a template
Click the 3-dot menu next to the template and select Copy. The Create template form will open, pre-filled with all values from the original template. Make any changes and save.
Delete a template
To delete a template, click the 3-dot menu and select Delete. You will be asked to confirm the deletion.
