Save Checklist as a Template
👤 JIRA PERMISSION REQUIRED: grant users Administer Project permission to create Project Templates if you use Jira Permissions.
👤 APP PERMISSION REQUIRED: grant users the Manage Smart Checklist Template permission to create Project Templates if you use Smart Checklist Permissions.
To create a reusable checklist template from an issue, follow these steps:
Open the issue that contains the checklist you want to save as a template.
Go to the Smart Checklist menu and select the Save as a Template option.
Enter a name for the template in the popup dialog and click Save.
Starting from v7.6.0, when saving a checklist as a template, you can also:
Choose to make it linked or non-linked
Assign template to a category (learn more about categories here -> Template Categories)
Edit checklist items before saving
🥳 That’s it! Your checklist is now saved and available in the list of Project Templates. You can easily apply it to future issues within this project.
☝🏼NOTE: Project Templates are only visible to users or admins within the same project. You can change the visibility in global settings. See more → Convert Template to project/global
☝🏼NOTE: For issues with multiple checklist tabs, the Save as a Template option is available in each tab menu.
Create a Template on the Project Level
Starting from v7.6.0, users can create project-level checklist templates from scratch directly within the project.
👤 JIRA PERMISSION REQUIRED: grant users Administer Project permission to create Project Templates if you use Jira Permissions.
👤 APP PERMISSION REQUIRED: grant users the Manage Smart Checklist Template permission to create Project Templates if you use Smart Checklist Permissions.
Open the issue that contains the checklist.
Go to the Smart Checklist menu and select the Manage Templates option.
Click the Create template button.
In the Create template modal, fill in the required details:
Enter a template name
Choose to make it linked or non-linked
Assign a category (learn more about categories here ->Template Categories) optional
Add checklist items using either the Checklist Items view or the Markdown Editor
Click the Save button.
🥳 That’s it! Your template is now saved and available in the list of Project Templates. You can easily apply it to future issues within this project.
Create a Template from Global Settings
👤 JIRA PERMISSION REQUIRED: Only System Administrators can manage templates from the Global Checklist Settings page.
Navigate to Jira Settings and select Manage Apps.
In the left sidebar, under the Smart Checklist section, click on Settings, then go to the Templates tab.
On the Templates page, click the Add New button.
Provide a name for your checklist template.
Define the checklist items using either the Checklist view or the Editor.
Define the project scope:
All Projects (default) - The template will be available to all projects.
Multiple projects - The template can be shared across selected projects.
Single project - The template will be restricted to a specific project.
☝🏼 NOTE: Selecting All projects or Multiple projects creates a Global Template, accessible via the Global Templates tab in the template manager at the project level.
The Single Project option creates a Project Template, which Project Admins can manage.
Additionally, you can configure Default Conditions for which template will be applied to issues:
Issue created (default) – Automatically applied to all newly created issues in the selected projects. You can further limit this to specific issue types by adding additional conditions.
Issue transitioned - Applied when an issue's status changes to/from a specific value.
Issue updated - Applied when certain conditions are met (e.g., specific field changes).
None - No default rules.
